Every vendor publishes a sticker price. Almost none publish what a team actually ends up paying, because the number that decides the bill isn't the headline — it's the pricing model. This index normalises 30 plans to two comparable figures: what a five-person team pays over twelve months, and what a twenty-five-person team pays, once per-seat, per-editor, per-client and per-source charges are counted.

The index

Sorted by 12-month cost for a team of five, cheapest first. The multiplier column is the ratio between the 25-seat and 5-seat cost — 1.0x means headcount doesn't change the bill, higher means it does. Rows marked secondary source are ones where the vendor doesn't publish a machine-readable price; those are flagged rather than estimated.

What the data shows

1. The cheapest plan at five seats is often not the cheapest at twenty-five

77% of the paid self-serve plans here move at least three places in the ranking between the two scenarios. That is the single most useful thing in this table and the reason sticker-price comparisons mislead: you are not choosing a price, you are choosing a curve. A plan that looks cheap during a trial with three people can be the most expensive option on the list by the time the team is twenty-five.

2. Seat scaling ranges from 1.0x to 5.0x

11 plans cost exactly the same for twenty-five people as for five — flat-rate and unlimited-user products, where the bill is driven by dashboards, data sources or clients instead. At the other end, Ajelix Max multiplies by 5.0x, from $9,900 to $49,500, purely on headcount. Neither model is inherently better; they suit different shapes of team, and the mismatch is what costs money.

3. “Per user” means four different things here

The denominators are not interchangeable. Looker Studio Pro charges per user per project, so cost multiplies twice. Geckoboard charges per editor and leaves viewers free. AgencyAnalytics charges per client with unlimited staff. Databox charges per data source on top of the plan fee. Any comparison that doesn't fix a scenario is comparing four different units and calling them the same thing.

4. Free is real, but it is a different product

5 plans here cost nothing, and two of them — Looker Studio and self-hosted Metabase — are genuinely capable. What you give up is support, managed access control and, with Metabase, the hosting and maintenance you now own. Free tiers on commercial plans are narrower by design: Power BI Free cannot share to non-Pro users, and Databox Free caps you at three data sources.

Methodology

Every price is taken from the vendor's own public pricing page on the verification date, in the currency the vendor quotes. Where annual billing carries a discount, the annual rate is used, because that is the rate a buyer comparing plans is shown. The two normalised columns model a team of 5 and a team of 25 using the product for twelve months, counting every charge the vendor applies at that scale: per seat, per editor, per client and per data source. seat_scaling_multiplier is the ratio between them and isolates how much of a plan's cost is driven by headcount. Where a vendor does not publish a price in a form readable from the page, the row is included with a null value and flagged, never estimated. Currency is not converted; EUR and GBP plans are marked. DataHub Pro is the publisher's own product and is listed on identical terms.
