Why the headline price misleads

Every vendor on this list charges for a different unit, which makes sticker prices almost useless for comparison. Power BI charges per person — and crucially that includes people who only read reports, until you reach Fabric F64 or Premium P1 capacity. Geckoboard charges per editor and screen but gives viewers away free. Databox charges per data source beyond three, where a source is each individual account or property rather than each tool. Why is Power BI more expensive than it looks?

Power BI Pro is $14 per user per month paid yearly, but that licence is required to view shared reports as well as build them — read-only colleagues need one too. Consuming content without a per-user licence only becomes available on Fabric F64 / Premium P1 capacity and above. So a team of 4 builders and 20 viewers is 24 licences, not 4.

Why can Geckoboard be cheaper than Power BI for large teams?

Geckoboard charges for editors and screens but viewers are unlimited and free on every plan, and people viewing a shared link or a TV dashboard do not need an account at all. If you have a small number of builders and a large read-only audience, that model can undercut per-seat pricing considerably.

What makes Databox expensive for agencies?

Databox includes unlimited users on Pro and above, which is generous, but only three data sources. Each additional source is $5.60 per month on annual billing, and every account or property counts separately — three GA4 properties is three sources. An agency with 25 client sources pays for 22 extras every month on top of the plan.

Why does Looker Studio Pro cost more than expected?

Looker Studio Pro is $9 per user per project per month. The billing unit is the Google Cloud project, not the organisation, so if you run one project per client, the same person is licensed once per project. Three people across five client projects is fifteen licences.
